Refund Policy
Effective May 5, 2026
Overview
This Refund Policy describes how refunds work across the Courtly platform. Courtly itself is a software platform; the merchant of record for each charge is the club (organization) you transacted with. Refunds are issued by the club, not by Courtly, except where Courtly's own platform fees are at issue.
Each club may publish its own additional refund terms inside its member portal. Where those terms conflict with this Policy, the club's published terms control for transactions involving that club.
Court reservations
Most clubs allow free cancellation when the booking is cancelled before a window defined by the club (commonly 24 hours before the start time). Inside that window, cancellation fees or no-show fees may apply.
To cancel a reservation, sign in to your member portal and cancel from My reservations. Cancellations are processed in real-time; refunds for any payment associated with the cancelled slot are sent back to the original card within 5–10 business days.
Event and program registrations
Drop-in registrations are typically non-refundable once the event starts. Season-long or full-event registrations may be refundable on a sliding scale (e.g., full refund before week 1, partial before week 3, none thereafter). The exact schedule is published on each event's detail page.
If an event is cancelled by the club (low enrollment, weather, staff availability), full refunds are issued automatically within 5 business days.
Memberships
New memberships may be cancelled for a full refund within 14 calendar days of purchase if no court time, events, or programs have been used. Initiation fees are non-refundable after this window.
Recurring membership fees are non-refundable for periods that have already begun. To cancel a recurring membership, contact your club; cancellation takes effect at the end of the current billing period.
POS / pro-shop purchases
Tangible goods may be returned to the front desk for a full refund within 30 days of purchase, unopened and in original condition. Consumables (drinks, snacks, restrung racquets) and services are non-refundable once delivered.
How refunds are issued
Card refunds are returned to the original payment method via Stripe. Depending on the issuing bank, funds typically appear within 5–10 business days. Account-credit refunds are applied immediately and may be used toward future club purchases.
When a charge is refunded, Courtly's platform fee on that charge is also reversed and not retained.
Disputed charges
If you believe a charge is incorrect, please contact the club first — the staff can usually resolve issues immediately. If you file a chargeback with your bank without first contacting the club, Stripe may freeze the club's account during the investigation, which delays everyone.
Courtly platform fees
Courtly's platform fee (a small percentage of each transaction) is part of the underlying charge and follows the same refund as the charge itself. There is no separate platform-fee refund process.
